Smart Scheduling
Instructor availability, student drive preferences, room occupancy, vehicle reservations, payment gates, and configurable reminders in one workflow built for driver education.

Instructor Management
Instructors set their availability, and students schedule drives based on open time slots, ensuring efficient use of instructor time and student convenience.
Instructors set open availability slots within school operating hours. Block closed days, add spacing between drives, and keep calendars in sync across month, week, day, and list views.
When self-scheduling is enabled, students only see open instructor slots. Schools can turn student self-scheduling off and book from the instructor calendar instead.
Availability respects school operating hours, closed days, and spacing rules so open slots stay bookable and realistic.
Instructors can book students into open slots, or schools can allow students to self-schedule into those slots.

Student Scheduling
Students schedule their driving sessions, track completion progress, and unlock new drives as they advance through the curriculum, all managed seamlessly on the platform.
Drives unlock progressively as students complete previous sessions. This ensures proper skill development and prevents students from jumping ahead before they're ready.
Students see exactly how many drives they've completed, what's coming next, and their overall progress percentage. Clear visibility keeps students motivated and informed.
Each drive is assigned to a qualified instructor with pickup location details. Students know exactly who's teaching them and where to meet for their session.
After each drive, instructors mark the session as complete directly in the platform. Student records update instantly, and the next drive unlocks automatically.

Auto-scheduling
Students set preferred days and a time window, then join a FIFO queue. When a matching slot reopens, DriversEdPro can auto-schedule the next eligible student and ask them to confirm.
Students choose preferred weekdays and a daily time window so the queue only matches slots they can actually take.
After a cancel returns a slot to the pool, the system walks the preference queue in order and books the first eligible match.
Auto-scheduled drives require student confirmation. Permit on file, curriculum order, and one-drive-per-day rules still apply.

Queue order is FIFO. After an auto-book, the preference stays active and moves toward the back of the line.
Room availability
Plan in-person and online classroom sessions against weekly room allocation, with conflict checks for makeup and exam monitoring blocks.
See how rooms are allocated across the week for in-person and online classroom sessions.
Block overlaps when the same room is already booked for another session at that time.
Schedule makeup, exam, and monitoring blocks with the same room-conflict awareness used for classroom sessions.

Vehicles and rules
Keep drives conflict-free with vehicle reservations, observation booking, chronological unlock, and one-drive-per-day enforcement.
Reserve a car for a drive from the instructor schedule so the fleet stays coordinated.
Prevent double-booking the same vehicle across overlapping drive times.
Let students book observation by joining a classmate's scheduled session when your program requires it.
Enforce one behind-the-wheel session per calendar day, with curriculum order and permit checks before booking.

Curriculum chronological order and a permit on file are required before student self-schedule or auto-schedule.
Payment Integration
Students can only schedule drives for features they've paid for. The system automatically enforces payment requirements without manual intervention.
Before a student can schedule a driving session, the system automatically verifies they've paid enough to unlock that feature. No drives can be booked without meeting payment thresholds.
Drives unlock based on payment progress. Students with a 20% down payment might access classroom sessions and the first practice drive, while full payment unlocks all drives and the final test.
By linking scheduling to payment status, schools ensure they're compensated for services before instructor time is committed. Reduces the risk of unpaid services.
Seeing locked drives creates urgency for students to complete payments so they can continue their training. Clear incentive structure encourages timely payment.

Real-Time Communication
Keep students and instructors informed with automatic SMS notifications for drive confirmations, cancellations, reminders, and real-time updates.
Schools choose drive SMS reminder timing at 6, 12, 24, or 48 hours before the session, plus in-app and email booking notices.
If a drive is canceled by instructor or student, both parties receive immediate SMS notifications. Students are prompted to reschedule, minimizing disruption to their training progress.
When a slot reopens after a cancel, matching students in the preference queue can be auto-assigned in FIFO order if they are eligible for the next drive.
Every time a student books a drive, they receive an SMS confirmation with instructor name, date, time, and pickup location. Peace of mind for both students and parents.
In case of weather emergencies, instructor illness, or vehicle issues, send mass SMS updates to all affected students instantly. Keep everyone informed in real-time.

Policy Enforcement
Enforce cancellation policies automatically with built-in fine management. Late cancellations trigger automatic fines, preventing abuse and protecting instructor time.
If a student cancels within 24 hours of their scheduled drive, the system can apply your school's late cancellation fee. Policies stay consistent without manual tracking.
Cancellations outside the 24-hour late window do not trigger the late-cancel fine. Freed slots return to availability and can fill from the preference queue.
Instructors mark no-shows from the drive flow. Schools can apply a configurable fine and send follow-up notifications.
Students with outstanding fines cannot schedule new driving sessions until the fine is paid. This policy ensures accountability and prompt payment resolution.
